PDA Red X enhancements go live today - make Red X a success and protect our revenue

The PDA Red X enhancements go live today and will start to be seen on PDAs over the next few days. These enhancements will make it easier to identify Red X mail.

Items that are contractually required for sampling or thought to be at risk of non-payment are removed from the pipeline by Operations and handed to Revenue Protection for sampling.

To enable this to happen, all PPI posting documentation barcodes must be scanned when we accept account customers’ mail.  When the barcode of posting documentation is scanned from a customer required by Revenue Protection for sampling, the PDA produces an Auto Red X alert and the barcode turns red.

The following enhancements to the PDA have been made:

  • A unique tone has been added to the PDA in addition to the barcode turning red
  • A pop up screen will appear asking for confirmation that the Red X alert has been seen and that the mail has been segregated for Revenue Protection
  • The PDAs also now have an out of date Red X alert, which will notify the user if their PDA contains an out of date Red X file. 

We are asking for your help to continue to drive up performance, by ensuring that colleagues complete all the following steps to stop unpaid mail from entering our network:

  • Logging off PDAs at the end of shifts and ensuring PDAs are cradled overnight
  • Downloading collection routes and the Red X file before leaving the premises where there is good Wi-Fi signal
  • Scanning all barcodes on PPI posting documents before loading mail onto vehicles
  • Red X-ing mail when instructed by the PDA - attaching Red X labels to the customer’s mailing, keeping the posting documentation with the posting, keeping all Red X mail separate from other mail during transit and handing over to Revenue Protection or placing in the Red X York
  • Business collections: politely refusing PPI mail presented by customers without posting documentation and completing a P6587 card for the customer
  • Post Office branches: accepting PPI mail presented without posting documentation, but routing the mail to Revenue Protection, as instructed by the PDA
  • Red X-ing anything suspicious by selecting ‘manual Red X’ on the PDA and sending it to Revenue Protection.
